Warm Transfers: The Feature That Changed How We Think About AI Calling
AI handles the outreach. A human closes the deal. Warm transfers combine the best of both worlds — here's how they work.
The biggest objection we hear from recruitment agencies considering AI outreach is simple: 'Our candidates want to talk to a real person.' And they're right — for certain conversations, human connection matters. That's exactly why we built warm transfers.
What is a warm transfer?
A warm transfer is when an AI voice agent handles the initial outreach — calling the candidate, confirming availability, checking basic requirements — and then seamlessly connects the candidate to a human consultant for the detailed conversation.
The candidate doesn't get dumped into a hold queue. The AI briefs the consultant in real-time ('Sarah is available for tomorrow's shift, she's confirmed her DBS is in date'), and then introduces them naturally.
Why this matters
- Consultants spend their time on meaningful conversations, not cold outreach.
- Candidates get a better experience — no more repeated questions.
- Fill rates improve because the human conversation starts from a position of confirmed interest.
- Agency margins improve because consultant time is used more efficiently.
How it works in practice
Picture a Monday morning. Your agency needs to fill 12 shifts across three care homes. Instead of your team of four consultants splitting the list and cold-calling, Milly calls all 200 available candidates simultaneously. Within 20 minutes, she's identified 18 candidates who are available and interested.
Those 18 candidates are warm-transferred to your consultants, one at a time, with full context. Your team confirms shifts, handles any questions, and processes bookings. By 9am, all 12 shifts are filled. Without warm transfers, your team might have filled 6 or 7 by lunchtime.
The best of both worlds
Warm transfers aren't about removing humans from recruitment. They're about removing the parts of the process that humans shouldn't be wasting time on — dialling numbers, leaving voicemails, chasing callbacks — and letting them focus on the relationship and the close.
